Managing Content Centrally with Content Type Hubs : Page 2

13. For the Column Name enter "ZipCode" leave the type as Single line of text. On the Group section select the New Group radio button and enter "CentrailzedCT Columns" in the text box as shown in the figure below. Finally click OK.

14. The CentrailizedCT content type should have ZipCode column added to it as shown in figure below.

15. To make this content type available, click on the link Manage Publishing for this content type located under Settings.

16. On The Content Type Publishing page, make sure radio button Publish is selected and click OK.

17. That's it, the CentralizedCT content type should be available to other site collections under the same web application as that of Content Type Hub site collection (or to other web application if these web application use the same Metadata service where Centralized CT is published). To keep it simple I will use same web application but a different site collection.

18. Browse to a root site collection within the same web application as our content type hub gallery site collection. On the Site collection select Site Actions ' Site Settings, and click Site content types from Galleries section.

19. You should now see CenrtalizedCT content type along with the all the columns including our custom one named ZipCode. Also note that as this content type is not locally defined you cannot change it from the local site.

20. In case if you don't see the CentralizedCT content type as mentioned in the previous steps, it's mainly because of the fact that SharePoint needs to run services that will actually publish the content type. These services run periodically, but to run them immediately perform the following steps.

21. Browse to Central Administration web site, and select Monitoring from the quick launch menu from the left as shown below.

22. Click on Check job status link under Timer Jobs section. On the Timer Jobs page located the following two services with Job Titles Content Type Hub and Content Type Subscriber. Note that you may have to use paging to locate this service. For example following figure shows Content Type Hub timer job listed in the top with other jobs.

23. Click on Content Type Hub job link and make sure to Recurring schedule has a proper value (any value will work b/w 1 to 59) as shown in figure below. Click Run Now, to run the job immediately.

24. Locate and click on Content Type Hub job link and make sure to Recurring schedule has a proper value (any value will work b/w 1 to 59) as shown in figure below. Also make sure that web application value refers to correct web application that contains site collection which will consume CentralizedCT content type. Finally click Run Now to run the job immediately.

25. You should now go back to step 18 and perform the steps to view the CentralizedCT content type on the desired site collection.

To sum up, Content Type Hub provides a great way to administer content types by making them available centrally.
